Case Study: HMRC Audit

Background

Our client had been notified that HMRC would be conducting an audit of the business and 10 years’ company paperwork needed to be sorted, filed and archived ready for the inspection. They were also keen to achieve ISO90001 accreditation and needed our help to identify requirements and set up the necessary internal systems and processes.

Our Role

Sort 10 years’ of paperwork and create a bespoke filing and archiving system in just two weeks, ready for an Audit by HMRC. Establish robust systems and processes to support an application for ISO9001 accreditation.

How We Helped

Our first job was to examine and sort thousands of business documents including Purchase Ledger invoices, Delivery Notes, Purchase Orders, Sales Ledger invoices, payment applications, sub-contractor payment applications, certificates and Approved Contractor Status documents and payroll records.

  • Streamlining ofexisting filing systems to improve efficiency
  • Creation of archivingsystems and processes compliant with current data legislation requirements
  • Creation of QA and H&S Questionnaires for issue to all Sub-Contractors
  • Creating a recognisable brand throughoutthe company, for both internal and external operations
  • Attending Health and Safetymeetings and documenting and completing actions raised
  • Establishing systems and processes to gain ISO9001 accreditation, including engagingthe British Assessment Bureau to oversee the accreditation process
  • Acting asthe Quality Administrator / Internal Assessor for the business
  • Completing Pre-Qualification Questionnaires (PQQs) and providing supporting evidence
  • FulfillingHR requirements for all existing and new employees, creating Holiday and Sick Leave tracking systems and procedures and ensuring training certifications were renewed on time
  • Keeping track of and arranging vehicle servicing, MOT’s and insurance renewals.

Result: After a successful audit, the Client retained our services to provide weekly on-site Office Manager / Administrator duties and ad-hoc off-site admin support.
